NR6 agent handoff: confirm work before sharing records

You have been introduced to an NR6 agent or another professional for your Canadian rental. Someone has replied, and a folder is ready. Before sending it, make the next step explicit: what work has the professional confirmed, which records are requested, and who acts next?

Use the two fictional cases below to turn an unclear exchange into a short confirmation record. A missing answer stays visible instead of becoming an assumption that your whole rental file is being handled.

Compare the two handoffs

This is a communication aid for owners abroad. Its labels do not decide whether a contract exists, who is legally able to act as an agent, or what CRA account access applies. It gives no tax, filing or deadline determination and describes no particular provider’s service commitments.

Track different checkpoints separately

An introduction or enquiry

Record who introduced you, which contact you independently confirmed, and what you asked for. A friendly reply may still leave the requested task unanswered. Ask the professional to make the position clear.

Specific work confirmed

Keep the professional’s confirmation alongside the agreed scope. Record the property, owner or owners, period and exact task it covers, plus exclusions. Your short summary supports the underlying correspondence or engagement documents; it does not replace them.

Records received and work progressed

Track requested records, receipt and completion separately. Ask what evidence will show the agreed task is finished. A sent email, uploaded folder or portal invitation alone may leave those questions open.

Confirm the task, not just the contact

Write one line for each requested task rather than a single box saying ‘taxes handled’. Use a property alias in your working checklist. Keep identifying documents in the channel agreed with the provider.

Who and what is covered?
Which owner or owners, property and year or period does the confirmation cover? Is another owner, property or year still awaiting a separate answer?
What task was accepted?
Is the request for organizing records, reviewing a question, preparing specified work or something else? Record the provider’s actual wording and what remains excluded or undecided.
Who is the contact?
Who confirms scope, answers missing-record questions and supplies the next update? If you were introduced through someone else, ask whom to contact directly.
What happens next?
Name the next action, responsible person and agreed checkpoint, including the time zone when relevant. Ask separately who will confirm any statutory dates for the work; this guide supplies none.
Three questions; three separate answers
  1. WorkWhat task has been confirmed, for whom and for which period?
  2. DocumentsWhich requested records go to which verified recipient and channel?
  3. Account accessDoes the agreed work need a CRA authorization, and which official instructions apply?

Keep an answer in its own lane. Ask about CRA access separately using the CRA’s current authorization guidance. Do not use this checklist to select an access level or substitute for the applicable process.

Agree how documents will move

Before documents move, confirm the recipient and transfer method through a contact route you trust. Ask why each item is needed, who will use it and how it will be protected. Confirm any information-sharing or authorization questions with the provider; do not infer the answer from an introduction. A portal’s existence is not a security assessment. Keep passwords, tax identifiers, bank details and full document contents out of this working record.

Worked cases • Entirely fictional

The same property, two different handoff states

Both cases, all people, messages, dates and references are invented. They illustrate recordkeeping decisions, not actual customers, contractual advice or evidence that NR6.ca has accepted work.

Case A Introduced, but the task is unanswered

Owner Alex is abroad and requests help organizing the 2025 records for a fictional property called Cedar. An introducer connects Alex with professional Rowan.

Invented reply from the professional

Thanks for the introduction. I’ll take a look at whether we can help. Please let me know a time to discuss it.
What the owner records
Status: awaiting scope confirmation. Evidence: message A-01. Requested task: Cedar, 2025 records organization. Confirmed task: not yet recorded. Document channel: not yet confirmed. Next-action owner: Alex, to arrange the discussion and request a clear scope answer. A response is requested from Rowan; no response date or accepted task is recorded.
Next action
Alex asks: ‘Are you still assessing the request, or have you accepted a specific task? Please confirm the scope and the document channel before I send the records.’ Alex keeps the folder in existing controlled storage while those questions are resolved.
Check the assumption
The introduction and Rowan’s reply are recorded. The file is not marked ‘all work accepted’ or ‘complete’. This is a description of missing confirmation, not a legal conclusion about an engagement.

Case B Records-only work confirmed; one item is missing

Owner Blair and professional Casey have separately agreed a limited records-organization task for Cedar, 2025, for the one owner identified in their scope. This example’s agreed task does not include preparing or submitting a return.

Invented reply from the professional

Our agreed work is to organize the 2025 Cedar records for the owner listed in the scope. Please use the transfer channel we confirmed. The March manager statement is missing. Return preparation and submission are excluded.
What the owner records
Status: agreed records task awaiting one item. Evidence: scope B-01 and request B-02. Missing record: March 2025 manager statement. Next-action owner: Blair, to request it from the manager; Casey, to confirm receipt and update the missing-item list. The example’s next progress check is 3 November at 11:00 Toronto time, chosen by these fictional parties, not a promised response time.
Next action
Blair records the statement’s reference when it is sent through the confirmed channel, then asks Casey whether the item is received and whether anything else is missing. The task stays open until the agreed completion evidence arrives.
Check the assumption
If Blair also asks about 2024 or a second owner, that is a new scope question in the record. It does not silently inherit Casey’s confirmation for the original task. No return is marked filed on the strength of this records-only exchange.

What an ambiguous reply leaves unanswered

Use these as prompts, not legal findings about an engagement
What arrivesWhat to recordQuestion to resolve
An introduction and a request to talkDiscussion pending; requested task still needs a clear answer.Who will confirm whether the work is accepted, and what is needed for that decision?
A portal invitationA transfer invitation exists; task scope and the intended documents still need their own confirmation.Which records should I send, for which task and recipient, and how should I verify the channel?
Confirmation for one owner and yearRecord exactly that coverage and retain its reference. Is the additional owner or year a separate request? Please confirm before I add it to the task.
A folder was sent or uploadedSent, with date and reference; receipt or completeness may remain unanswered.Have the requested records been received? What remains missing, and who acts next?
A message saying ‘done’Record the message, then match it to the exact agreed task.Which task is complete, what is the completion evidence, and are any other requested tasks still open?

A blank confirmation record

Copy or print one record per task and keep it with your existing file. Use references to underlying documents, not sensitive details. This is a memory aid, not an engagement letter, authorization form or contract. Nothing is collected on this page.

Ask the first unanswered question

Choose the first unanswered field and send one focused question to the professional through your verified contact route. For example: ‘Please confirm the task, owners and period you have accepted, what remains outside scope, which records you need next and the agreed transfer channel. Who owns the next action, and when should we check in?’ Keep the response with your underlying scope documents.

Still comparing providers? Use the service quote checklist for fees and inclusions. Preparing the underlying records? The rental-records organizer can help you structure a separate working file.

Resources for the separate questions
