Rental records, ready to organize

Bring rent statements, costs, withholding records and supporting references together before your accountant review. Keep the file on your device; no signup or document upload is required.

Excel workbook · blank Records tab and fictional Example tab

Headers only · no formulas or sample records

10 fictional records · for exploring the format

Start with one month

  1. Open the workbook in Excel or import it into Google Sheets. Use the blank Records tab for your entries; the Example tab is entirely fictional.
  2. Give each record a unique ID and a property alias. Keep its transaction date and related month separate.
  3. Enter the recorded CAD amount and record kind. Add a local document reference, or mark the evidence missing or requested.
  4. Resolve entry errors, select a period and property, and review the separate totals. Table filters help locate records but do not change summary totals.
  5. Share your own copy with your accountant using your usual secure process. For CSV, follow the workbook’s values-only export instructions.

What the file does

  • Separates rent, costs, tax withheld, tax remitted and owner transfers.
  • Flags missing evidence, duplicate IDs and invalid entries.
  • Provides room for 100 records and keeps transaction dates separate from the months they relate to.

CAD only. Record categories and “reviewed” labels are your organizational choices. The template does not determine deductions, tax due, filing compliance or completeness. Refunds, deposits, corrections and ownership splits need separate review.

Explore the fictional example

The sample contains CAD 6,000 of rent, 850 of costs, 1,500 withheld, 750 remitted and 3,650 in owner transfers. It flags one missing invoice. A remittance dated in October relates to September. These are supplied example amounts, not calculated tax obligations.

A difference between recorded withholding and remittances is a question to investigate, not proof of unpaid tax. The prototype has passed calculation and Google Sheets compatibility checks; usefulness in a real accountant handoff remains to be evaluated.
